Job description
Key Focus of the Role
- To work closely with, and under the direction of, the Birmingham Front of House Manager in a busy Hub office.
- This role supports a primary location for Divisional and Client Events and provides national switchboard cover alongside two full-time switchboard operators, as well as carrying out a range of office administration duties to support the smooth and efficient running of the office.
Main Responsibilities
- Provide a warm, personable, and professional welcome to colleagues and clients entering the office
- Work with the Front of House Manager to ensure the delivery of a professional, efficient meetings and events service within the Birmingham office
- Assist with managing meeting room bookings, noting requirements, including preparing rooms (which may involve moving furniture) and organising refreshments
- Maintain tidy and presentable meeting rooms, reception, and hub areas, ensuring adequate kitchen supplies for staff and visitors
- Provide general administrative support to the Front of House Manager and Office Manager, as well as ad hoc administrative assistance to Birmingham office teams during busy periods
- Work alongside two full-time switchboard operators to assist with answering calls to the national switchboard using a Mitel terminal, including accurately answering, transferring calls, and taking messages as required
- Act as a First Aider / Nominated Person
- Act as a Fire Warden
Key Qualities, Qualifications and Experience
- A strong team player with excellent interpersonal skills
- Adaptable, hands-on, and demonstrates a proactive, can-do attitude
- Excellent written and verbal communication skills
- Good IT skills, with experience using Microsoft Word and Excel
- Strong organisational skills with a high level of attention to detail
- Ability to work methodically and accurately
- Comfortable working both independently and as part of a team
- Flexible and able to effectively prioritise a changing workload
