Role Overview

 

Join our dynamic Commercial Property Management team as a Utilities Management Administrator. This pivotal role combines administrative excellence with some utilities knowledge to support our property portfolio. Working alongside our Utility Manager, you'll help deliver exceptional service to clients while contributing to our sustainability initiatives.

Key Responsibilities

 

Administrative Excellence: 

  • Review utility invoices with precision and maintain comprehensive records
  • Coordinate meter readings and manage consumption data collection
  • Prepare detailed utility performance reports for clients
  • Assist with queries raised on third party systems
  • Assist with tenant billing and recharges for utilities

Client and Supplier Communication: 

  • Handle supplier communications and assist with query resolution (both internal and external)
  • Provide direct support to Accounts Payable regarding late payment and disconnection notices
  • Contribute to client reporting and communications

Platform Management: 

  • Administer third party platforms (eg: Xcelerate, Kiveev & Trace)
  • Maintain data integrity across utility management systems

Sustainability and Financial Support: 

  • Compile and analyse data for sustainability reporting
  • Assist with utility budget forecasting for service charge management
  • Support strategic initiatives to improve utility management efficiency

Required Skills and Qualifications

  • Exceptional organisational and time management skills
  • Meticulous attention to detail and accuracy
  • Proficiency in Microsoft Office Suite, particularly Excel
  • Excellent verbal and written communication skills
  • Ability to handle confidential information with discretion
  • Proactive approach to problem-solving
  • Interest in utilities management, sustainability, or property management
